We are currently recruiting an Administration Officer to join our Training Services team. This is a Permanent Part Time position for two (2) days per week (15 hours) based in Bundaberg.

In this role, you will be responsible for supervising all administration for the Training Services, ensuring the Training Services Coordinator and training staff are well supported and administrative functions are undertaken in an effective and timely manner.

The position of Administration Officer cannot be achieved from home and must be performed in the workplace.

About the role

On a day-to-day basis, you will:

  • Perform all administrative duties following our Administration and Delivery procedures according to relevant contractual, AVETMISS and ASQA requirements.
  • Manage the enrolment process for students, ensuring accurate and complete information.
  • Assist students with enrolment enquiries and provide guidance on required documentation.
  • Maintain and update student records, ensuring compliance with AVETMISS requirements.
  • Assist in the preparation of invoices, track payments, and maintain financial records.
  • Assist in preparing reports and documentation for compliance audits conducted by ASQA.
  • Stay updated on industry trends and best practices in RTO administration.
  • Assist in the administration of assessments, ensuring compliance with assessment policies.
  • Collaborate with trainers to organise assessment checks and maintain assessment records.
  • Generate certificates, transcripts of results, and competency records for students completing
    training courses. Coordinate the timely issuance of certificates and relevant documentation.
  • Provide general administrative support as needed, including handling phone inquiries, managing emails, and responding to requests from various stakeholders.
  • Take reasonable care for personal health and safety in the workplace and that of others.

To make a difference in this role, you will have:

  • Proven extensive experience in a high-level administration role.
  • Previous experience providing high-level support in a performance-driven environment.
  • Demonstrated understanding of administrative functions and office practices.
  • Technical skills required to maintain and enhance the quality of service provided by the training
    function, with the ability to develop technical skills as needed.
  • Well-developed communication skills, including written, telephone, and customer service skills.
  • Exceptional organisational skills, with the ability to prioritize work activities, manage time effectively,
    and adjust priorities as required.
  • Fast and accurate data entry skills.
  • Highly developed computer skills with proficiency in Microsoft Office applications.
  • Ability to work collaboratively as part of a team and autonomously when necessary.
